Rutgers, New Brunswick/ UMDNJ Cross Registration


 Policy

 Graduate students at Rutgers, New Brunswick and at UMDNJ, Piscataway, may take courses at the host institution without formal admission. Tuition is assessed by  the home institution to its own students through registration in a dummy course. Students are registered at the host institution by the host Registrar.  Tuition and fees are waived.

 Procedure

 Rutgers, New Brunswick, to UMDNJ, Piscataway

 The student obtains an approval form from the Registrar at either institution. The student obtains the signatures of his/her adviser , dean, and course instructor.  The form is submitted to the Registrar of the unit at UMDNJ offering the course.  The graded form will be signed by the Registrar and forwarded to the Registrar at Rutgers.  Course and grade information will be posted to the student’s record on the exchange course screen.

 The student will register for the appropriate number of credits in the appropriate dummy course at Rutgers (MED SCHOOL EXCHANGE, 16:001:815, or 34:001:815  The print indicator for this course will be set to “N”.
 
UMDNJ to
Rutgers

 GSBS to the Graduate School - New Brunswick

Students in the joint degree programs will complete a cross registration form, obtaining the proper approvals, and submit it to the appropriate dean at the Graduate School - New Brunswick.  The dean will send a copy of the form with authorization for registration to the Rutgers Graduate Registrar, and will then obtain the approval of the instructor of the course.

The Registrar will register the student using codes 16:NM:xxx (curriculum code of department offering the course.)  If the studenthas a previous Rutgers termsegment in one of the joint programs, the Registrar will use those codes.  The Registrar will code the loc/spec field = MD, and the SAR billing code = MD. The Registrar will set the telephone access override code to N to prevent unauthorized changes of registration or future registrarions.  The skeletal record code will be changed to N if necessary.  The bill payment indicator will be set to Y and the student's address will be recorded as that of the Rutgers Registrar's Office, until such time as the MD code is functioning to cancel charges.  The Registrar will notify SAR to cancel charges for these students.

Grades will be assined in the Rutgers grading system and transcripts will be issued by the Registrar and sent to the Registrar at GSBS.

Student may obtain a Rutgers. student ID.


School of Public Health to Rutgers.

students in the joint degree programs weith the Bloustein School of Planning and Public Policy may take courses ar Rutgers without approval of the instructor, unless the course requires special permission.  The Registrar ar the SPH will send an email to the Rutgers Registrar giving course numbers and basic demographic data on the student (including ssn and dob) to the Rutgers Registrar.

The Registrar will register the srudent using codes 34:NM:xxx (curriculum code of department offering the course.)  If the student has a previousd Rutgers term segment in one of the joint programs, the Registrar will use those codes.  The Registrar will code the loc/spec field = MD, and the SAR billing code = MD.  The Registrar will set the telephone access override code to N to prevent unauthorized changes of registration or future registrarions.  The skeletal recorde code will be changed to N if necessary.  The bill payment indicator will be set to Y and the students address will be recorded as that of the Rutgers Registrar's Office, until such time as the MD code is functioning to cancel charges.  The Registrar will notify SAR to cancel charges for these students.

 Authorization

These procedures evolved organically upon the separation of the Rutgers Medical School from Rutgers University.  No formal documents of agreement exist. The procedures for the Rutgers Graduate School - New Brunswick  and  GSBS at UMDNJ will become obsolete upon implementation of the recommendations of the Committee Addressing Disparities in  Graduate Student Education between Rutgers and UMDNJ in New Brunswick/Piscataway, targeted for fall, 2008.  Procedures for the School of Public Health will continue in effect.
